Finance Assistant

We are now recruiting for a Finance Assistant to manage the day to day financial administration of the finance department including filing, organising meetings, credit control duties, liaising with external clients and suppliers, some cashiering transactions, dealing with queries and absence cover. the day to day running of the Finance function. You will report to the Finance Manager and work closely with all members of the finance team to provide an efficient and proactive service by adhering to service level agreements and meeting all compliance requirements.

The role

This is an admin focused role and you will have a variety of responsibilities to include:

  • Confirming bank details over the phone with clients and suppliers for payments being sent and received
  • Uploading the firm’s invoices to supplier portals
  • Administration of incoming purchase orders
  • Assist the Revenue and Billing team with chasing payment of outstanding invoices adhering to the firms credit control procedure
  • Monitor the credit control inbox; dealing with copy invoice requests and escalating complex queries to the Revenue Controller
  • Administration of matter information to include matter contacts, fee estimates, address changes etc.
  • Preparing WIP and Debt reports in advance of meetings
  • Processing of the office account receipts
  • Matter inception
  • Emailing purchase ledger remittance advices to suppliers
  • Updating the purchase ledger system with payment dates
  • Setting up new suppliers in the practice management system
  • Assisting the Head of Finance with reporting
  • Assisting both teams with other general administration and system administration as and when required
  • Assisting with filing in the finance teams electronic filing system
  • Monitoring of Finance Teams central inbox, ensuring that queries and urgent requests are escalated in a timely fashion
  • Assist with team cover during absences

About you

In order to be considered for this Finance Assistant position, you must have good academics, particularly in Maths and English Language at GSCE standard or equivalent. You must also have knowledge of accounting and bookkeeping procedures and strong IT technical ability with MS Office Skills (Word, Excel and Outlook).

You will have the ability to communicate effectively at all levels, both verbally and written. You will have organisational and time management skills enabling you to prioritise workload effectively and work under pressure. You will have an attention to detail with the ability to sport numerical errors, and a willingness to learn.
